DATA PROTECTION SERVICES & SOLUTIONS
Data protection is at the heart of your customer relationships. Your customers willingly share information with you because they trust you. As a business you must earn your customers trust. Data protection is not just about compliance. It is a powerful tool that you can deploy in your organisation to enable you to build trusted relationships with your customers.
Data protection ultimately benefits your business by enhancing your business reputation. Much of data protection is common sense. Most of the mistakes that lead businesses into difficulty could be avoided simply by being more aware. Could you be making better informed decisions about how you gather customer data and how you use it? Could your staff be more aware and behave more responsibly? Digital Documents offers a range of data protection services that help businesses develop comprehensive data handling policies and procedures. Digital Documents mission is to help businesses build trusted customer relationships through data protection.
GDPR is the most significant development in data protection in the online age. The impending EU General Data Protection Regulation places far greater responsibility on organisations processing personal data. The implications for those organisations neglecting their data protection responsibilities will for the first time result in fines issued directly from the Office of the Data Protection Commissioner. Fines under the new GDPR can reach €20 million or 4% of an organisations global turnover (whichever is higher).
Digital Documents supports organisations in the implementation of robust data protection policies and procedures ensuring future-proofed data protection compliance.

PRIVACY IMPACT ASSESSMENTS
A Data Protection Impact Assessment (DPIA) or Privacy Impact Assessment (PIA) is a business data risk assessment that will help your business to protect and manage information that your customers have shared. It involves assessing customer data, reviewing and documenting information flows, identifying and mitigating risks and integrating solutions into business processes and project plans. We examine the data handling across your business in a six-step process that aligns with the 8-principles of data protection. A well-executed DPIA brings certainty and control to the data handling practices in your business.
The DPIA process is fully aligned with data protection legislation and follows best practice guidelines on data protection. It enables you develop robust data handling policies and ensures you are prepared for a data protection audit, data subject access requests or in the event of a data breach. A DPIA will assist with your current data protection act compliance and preparation for the new European General Data Protection Regulation (GDPR).

DATA BREACH MANAGEMENT
The real measure of a business is how well it handles bad situations. In fact, customers who see businesses handling difficult situations well, often become even more loyal to the business. Its human nature to ignore something you don’t know how to handle in the hope that it will go away. Expert data protection studies have shown that ignoring data breaches is a major contribution to aggravating the damage caused to data subjects – and to businesses. It requires skill to manage a data breach and restore control to your business. That skill can be difficult to develop when you are already under pressure.
Digital Documents offers standard data breach handling practices and coaching to help you get through the process and move on with your business. We help you assess the scale of the breach and develop a comprehensive action plan. We help develop a customer communication plan and train your staff to carry it out. We identify the escalation points and get those in place. We offer an optional contact service to make those contacts on your behalf. We offer practical guidance through the stressful process of managing a data breach to restore customer confidence in your business.
BREACH ASSESSMENT
The first step is to understand what data has been compromised. We will help you to identify the extent of the data loss and determine who is impacted.
DAMAGE LIMITATION
The next priority is to limit the damage. We will help you to deal with the issue that caused the data breach to ensure no further data is compromised.
COMMUNICATION PLAN
Notifying data subjects is the most painful part of the process. We help manage your pain by getting a robust communication plan in place and we coach your staff as they work through customer contacts.
